How to register yacht in Reja24 System?

Registering a yacht in Poland is carried out through the Reja24 system. The platform was created by the Ministry of Infrastructure, and its administrator is the Municipal Office in Szczecin. Since its introduction on 1 August 2020, Reja24 has unified the registration process, standardized the required data, and consolidated all previous registers into one national system.
Below is a comprehensive overview of when registration is required, what documents are needed, and how the process works.
When Is Yacht Registration Mandatory in Poland?
A yacht or motorboat must be registered in Poland if any of the following conditions apply:
1. The vessel is between 7.5 and 24 meters in length
Registration is obligatory regardless of how the vessel is used.
2. The yacht sails outside the territory of the Republic of Poland
Any vessel leaving Polish waters must have a valid registration document.
3. The engine power exceeds 20 kW
In this case, documentation confirming the engine’s specifications is required, such as:
- user manual,
- warranty card,
- CE documentation,
- engine nameplate.
Required Documents for Yacht Registration
To register a yacht in Reja24, the owner must provide several key documents. These include:
1. Proof of ownership
Accepted forms include:
- invoice,
- bill of sale,
- deed of gift.
2. Technical documentation
Yachts manufactured after 2012 come with a CE Declaration of Conformity, which contains essential technical data about the vessel.
3. Owner identification
- passport or ID card.
For companies:
- an extract from the National Court Register (KRS),
- documentation confirming who is authorized to sign the application (or a power of attorney).
4. Vessel identification numbers
- photo of the engine nameplate with serial number,
- HIN (Hull Identification Number) — a 14‑character combination of letters and digits,
- photo of the HIN on the hull.
If the HIN/VIN/CIN does not meet the required criteria, the authority will assign an Individual Identification Number (INI).
5. Proof of deregistration (if applicable)
If the yacht was previously registered in another registry, a deregistration document with the date of deregistration is required. This means the vessel may temporarily remain without registration during the transition.
6. Polish correspondence address (for foreign owners)
This applies to both EU and non‑EU citizens.
Where to Submit the Registration Application?
There are approximately 380 registration authorities in Poland, including:
- county offices (starostwa),
- city presidents,
- the Polish Yachting Association (PZŻ),
- the Polish Motorboat and Water Ski Association (PZMiNW).
The application can be submitted to any of these authorities.
If the registration card must be collected in person, it can be done by the owner or by an authorized representative holding a power of attorney.
After submitting the application, the owner receives a temporary certificate in PDF format, which is a fully valid registration document.
The authority has 30 days to issue the final plastic registration card, although in practice it is often faster. The card must be collected in person by the owner or their representative.
Changes That Must Be Reported in Reja24
Any significant change related to the vessel must be reported within 6 days of its occurrence. This includes:
- change of engine,
- change of ownership,
- change of yacht name,
- structural modifications.
Importantly, yacht names are not verified for uniqueness — multiple vessels may share the same name. The registration number is the true identifier.
Registration of Radio Equipment – MMSI
Many yachts are equipped with devices that require separate registration, such as:
- VHF radio,
- radar,
- AIS transponder,
- EPIRB.
These devices must be registered with the Office of Electronic Communications (UKE), which issues the MMSI number.
Required documents for MMSI registration:
- operator’s certificate (e.g., radio operator license),
- temporary certificate or photo of the yacht’s registration card,
- conformity certificates for each device.
Application submission options:
- via ePUAP,
- by post.
The final decision is sent as a PDF.
Summary
The introduction of the Reja24 system has significantly simplified yacht registration in Poland. The process is now unified, transparent, and accessible. Owners must prepare the necessary documents, ensure correct identification numbers, and remember to report any changes within the required timeframe. Additionally, yachts equipped with radio devices must undergo separate MMSI registration with UKE.
With clear procedures and a centralized system, registering a yacht in Poland is now more efficient and user‑friendly than ever.
